Facilities Business Office

| The mission of the Facilities Business Office (FBO) is to
provide fiscal management (accounting, budget and analysis) and
guidance/assistance in the areas of human resources, planning and
administration to Facilities Management managers and other
university administrators for use in short and long-term strategic
decision-making . This department is comprised of two units,
Finance/Budget and Human Resources. The primary goals of the
Facilities Business Office are to: • Provide highly detailed,
timely, accurate and insightful information in all business areas; •
Administer the FM Employee Recognition and Awards Program; • Provide
risk management services to ensure compliance by all units within
Facilities Management; • Create appropriate HR and fiscal policies
and procedures to ensure “best practices”; and • Act as the primary
interface with central university personnel and fiscal groups.
Budget/Finance Unit: Business Office staff members administer
Facilities Management’s budget and support the department by
processing all financial data for work/service requests and
projects. Staff prepares and monitors all operating budgets,
develops financial projections for receipt-supported activities,
calculates labor charge rates, interfaces with the University’s
central accounting system, and manages the financial component of
the Facilities Work Management system—Archibus. The unit also
manages purchase orders and departmental purchasing processes.
Responsibilities have recently been expanded to include grant
writing and grant management. Human Resources Unit: In coordination
with the University's Central Human Resources Department, the
Facilities Human Resources Unit oversees recruitment, training,
performance management, payroll, and salary/leave administration for
Facilities Management. HR staff members maintain FM employee
personnel records and process all personnel actions including weekly
time sheets. The unit serves as a reporting resource for the
department in regards to overtime, training, recruitment and the
administration of the Employee Recognition and Awards Program.
